Under supervision of the Dorchester County WIC Admin Team Lead, performs administrative support duties for Women, Infants, and Children (WIC) client services. Implements and adheres to agency/program policies and procedures for efficient service delivery. Provides quality customer service in a culturally competent manner. Maintains strict confidentiality and upholds HIPAA and all Agency privacy practices.

Performs all administrative duties in a culturally competent manner: Meets, interviews and determines if applicants meet the identification, residency and financial requirements for eligibility with the WIC program. Processes information, updates client profile, assists with registering to vote, referral as appropriate, completes WIC nutritional record, completes data collection and entry into the Client Automated record Encounter System (CARES). Validates and issues food instruments (FI) and farmers market checks. Answers telephone, schedules appointments in CARES, sends reminder letter or makes reminder calls, as needed. Informs and educates clients on program policies, procedures, redemption of food instruments, use of WIC ID card and WIC food guide. Provides WIC Administrative support to other Lowcountry Region sites as needed. Manages and maintains WIC materials and reports: Follows WIC program security per policy and procedures. Assists in maintaining the non-participation report, client discharge report and others as needed. Completes daily and/or monthly SCEIS, PCAS, travel and other requested documents. Completes other duties as assigned, including back up to other program areas and emergency preparedness response.

Must possess the ability to empathize with the needs of the typical public health patient. Must possess tact and ability to communicate effectively, both orally and in writing with co-workers and general public. Able to follow written and oral instructions. Ability to collect and assemble information in a clear and concise manner. Must be flexible, dependable, and willing to be cross-trained as needed. Ability to maintain strict patient confidentiality, and to practice "minimum necessary" information collection policies.

Must have current driver's license or ability to obtain transportation. May be required to use personal vehicle. Must be able to lift 30 pounds and stand for long periods. May be required to work late (after 5pm) or early hours (before 8:30 a.m.) and /or Saturday clinics. Occasional regional travel is to be expected.

Minimum and Additional Requirements

A high school diploma. Related clerical experience may be substituted for a high school diploma.

Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.

Agency Additional Requirements: High school diploma and two years of administrative office experience, or an associate degree in secretarial science or a related field and one year of experience which includes public contact.

Preferred Qualifications

Customer service experience in a medical office environment.

Additional Comments

Immunization: All new employees who are healthcare providers are required to provide documentation of immunity or be immunized against Measles, Mumps, Rubella, Pertussis, Varicella, and Hepatitis B prior to beginning employment.

State Disaster Plan: In accordance with the State's Disaster Plan, which includes hazardous weather, DHEC employees may be required to work in times of an emergency or disaster.
